Annual Meeting

The Land of Canaan Homeowner's Association held its 2009 meeting at the Canaan Valley State Park on Saturday, June 27, 2009 at 1:00 P.M.  Board Members present were Lawrence "Skip" Eller, President;  Lyda Lister, Vice President/Treasurer;  Jerry L. Helmick, Secretary;  Board Members, Herb Richardson, Bruce Stalnaker and Ron Roth;  along with Cindy Cook, Resort Mananger.

Represented:     76 unit weeks       83 attendance

President, Lawrence "Skip" Eller called the meeting to order.

Resort Manager, Cindy Cook read the proof of notice.

President Eller introduced all board members and resort staff.

President Eller led the association in the pledge of allegiance.

Reading of the minutes from the June 28, 2008 meeting:  Lyda Lister moved to dispense with the reading of the minutes; seconded by Bruce Stalnaker; motion carried.

Year End Review:  The resort once again received the Award of Distinction this year.  The capital improvements included the upgrades to "B" building which included:  new mattress/box springs, new front and back entrance doors; new patio decks; new windows; new siding; new air conditioning units; installation of new siding.  There have also been some additional updates to the resort website.  We also made necessary repairs to the in-ground hot tub; purchased and installed new playground equipment.  We also complete the water and sewer project and new storage building.  We are getting ready to start t he upgrades to "C" building.

Jerry Helmick spoke to the association about the web-site changes that include a swop page.

Stevens' Realty and Management: Broker, Debbie Stevens greeted the association.  She reported having a good first year.  She informed the association that she has purchased a new computer program to help with the rentals.  She also informed the association that she will be increasing her rates by 1% on the customer side to help compensate for the credit card fees.  The association was informed that rental and sales forms are not available on the web-site.  In 2008 we handled $24,186.00 worth of rentals and so far January through June we have collected $14,000 in rentals.  Debbie stated that it is a joy to work with all the staff.  Debbie states that she advertises in the real estate guide with the Land of Canaan web-site and flyers in the resort packages.  I appreciate the cooperation of the board and the staff at Land of Canaan.

George and Racina Stollings "Points Program" - George Stollings provided the association with a very informative presentation about the points program and volunteered to stay over for about 30 minutes afterwards for anyone with questions.

Consideration of the 2009-10 budget;  RH Strickler (G6-48) moved to accept; seconded by Connie Roth (D5-51); motion carried.

Q).  Charlie Entsminger (D2-03) - What is mileage reimbursement?

A.)  That is staff and board mileage reimbursements for when the use their vehicles for resort use.

Q).  What are the Board of director's fees?

A).  Each board member is paid $100 for each board meeting.

Q).  Kathy Humbertson (G2-19) - On the financial statement PG. 14, why is it board of directors fees are not an even number if the board members get paid and even $100 per meeting?

A).  President Eller told the association that he thinks that includes meeting expenses.

Q).  Why is the advertising budget for the upcoming year lower than the current year?

A.)  We are simply planning to cut our advertising for the upcoming year.

Election of 2 Board Members:
President Eller opened the floor for nominations.
Debbie Fortney (B5-08) nominated Ron Roth; seconded by Kitty Richardson (B1-22).
Herb Hunt nominated Lyda Lister; Ruth Snyder seconded.

Herb Richardson moved to close nominations; seconded by Ruth Snyder; motion carried.

President Eller cast the ballot and both are elected.

Q).  Where do the board members live?

A).  Each board member told were they lived.

Door Prizes were given.
