Annual Meeting

The Land of Canaan Homeowner’s Association held its 2008 meeting at the Canaan Valley State Park on Saturday, June 28, 2008 at 1:00 p.m.  Board Members present were Lawrence “Skip” Eller, President; Lyda Lister, Vice-President/Treasurer; Jerry L. Helmick, Secretary; Bruce Stalnaker, Board Member; Ron Roth Board Member and Cindy Cook, Resort Manager.

Represented:            74 unit weeks

Attendance               72 guests

 

President Lawrence “Skip” Eller called the meeting to order followed by the Pledge of Allegiance.

Resort Manager, Cindy Cook read the proof of notice.

Reading of the minutes from the June 30, 2007 meeting:

Ron Roth moved to dispense with the reading of the minutes; seconded by Bruce Stalnaker; motion carried.

Report of Officers:

Lyda Lister, Vice President/Treasurer – “I’m going to give me time for any questions.  You see before you a list of accomplishments we have made and we hope that you will go over and see for yourself the changes we have made.  The beautiful “A” building.  So at this time if there are any questions I am going to give my time for questions. 

Jerry L. Helmick, Secretary – I would like to follow Lyda and allow you the chance to ask any question that you may have.  Again…I am still working hard to keep our website up and going and as current as possible.  We have a couple of new projects pertaining to the website that we are going to begin working on.  We are going to have our sales and rental agreements available to be downloaded from our web site and we are going to develop a new page for those of you who want to swap your units with another owner.  So please keep checked out our website for those updates that will be coming soon.  Any questions?

S)    One of the owner’s spoke up and said they think the swap page is a great idea.

Jerry asked that the association cooperate with this transaction and make sure that the resort is made aware of any unit swaps.

Q)     Lisa Porter – Is the swap for ownership or usage?

A)     The swap is for ownership.

Bruce Stalnaker -  Good Afternoon…this is my third year with this board and I’m running for another term.  And I think if you look at all the improvements…we have spent over 110,000 last year, we have made a lot of improvements.  I will do as Lyda and Jerry and allow my time for questions.

Q) A1-30 anytime you have the a/c running and the washer dryer running at the same time it trips the circuit breaker will the new a/c’s current this problem.

A) We think so…the new a/c’s are more energy efficient so hopefully that will help but if there is a problem we will see that it gets taken care of.

Q) A1-30 Last year we had a problem with the refrigerator not getting cold has a new refrigerator been placed in that unit.

A) ALL of the appliances are new.  I’m not sure if it has been replaced or simply repaired.  There are no appliances that are older than 7 years.

Ron Roth – I’m glad to see everyone here you are the heart of the group that owns that cares to share your thoughts.  My next-door neighbor said yesterday as he was cleaning some paint brushes that it was probably cheaper to by new paintbrushes than to try to clean them.  We are glad to see you here. I am from Buckhannon.  This is my second year on the board and I have really enjoyed it.  We have been working really hard to keep the dollars down as much as we could.  As everyone knows minimum wage had gone up this year and it has forced us to raise some salaries.  And that is part of the reason for the increase in maintenance fees for this year. We try to keep things new and working.  We will be staring on “B” building this fall. 

Q)     Do you anticipate any special assessments for this upcoming year?

A)    No we do not anticipate.

President Eller acknowledged two of Land of Canaan’s staff Brittany and Winnie.  Brittany is our full time receptionist and Winnie is our full time Recreation Director.

President Eller acknowledged Doug Richie owner of Points Professionals.  Doug has a young lady working with him that is learning the points system Debbie Stevens who also handles our sales and rentals.  If you have any questions you can see one of them after the meeting today and they will be happy to answer any questions you may have.

President Eller acknowledged Cindy Cook our resort manager.  Cindy will be having her 20th year anniversary with us this fall. 

President Eller informed the association that normally when they come in they are normally greeted by an additional staff member, but she couldn’t be with us this year because she just gave birth to a baby girl earlier this morning.

President Eller would like to encourage you to drive over and take a look at the recent upgrades that have taken place at the resort.  “A” building has new vynle siding, new windows and exterior doors; new patio decks; new trim and it is set up so that the front door and patio door are keyed alike.  Those same upgrades will be started on “B” this year.   We are still doing the points program.  We did have the special assessment for the water system upgrades and the final steps for those upgrades were approved yesterday and will begin this fall. 

President Eller introduced Doug Richie of Points Professionals.  With the RCI Points Program we have been here at Land of Canaan for the past 4 to 4 ½ years.  I am very excited to have Debbie Stevens working and talking to the owners and guests as they come in.  If you have any questions we will be here after the meeting to try to help you.  RCI points has been around now for 8 years and is continuing to grow.  Out of the 4000 RCI affiliated resorts Points Professionals just went over the 1000 mark.  The resort looks beautiful and the staff and board are great to work with and we look forward to continuing to work with the resort.  I thank you for the opportunity to be here.

President Eller introduced Debbie Stevens of Stevens Realty & Management.  I would like to welcome everyone here.  I am certainly the new girl on the block.  The board met with me last year and gave me an opportunity to work with and for you homeowners.  I am Debbie Stevens the owner and broker of Stevens Realty in Parsons and Belington.  I want to say that from the beginning Jerry your secretary gave me the recommendation and I’m trying hard to live up to that recommendation.  He said that he thought I could do the job and it has been almost a year of learning but I’m starting down the home stretch.  The board and the staff have been extremely good to work with.  Coming into the situation of renting units, reselling units, taking delinquent units and turning them into new ownership and learning the Points Program has been a learning experience.  Everyone on staff at the resort works very hard to make the experience at Land of Canaan a good one.  Rentals are doing well.  Currently we have 56 units by owners and 13 units for sale by the association.  I have sold 3 units owned by the association; 5 points conversions and 11 units for owners.

Question and Answer Session:

Q) F5-35 – I use to be a schoolteacher several years ago.  I always hated it when a schoolteacher would punish an entire class for something that one or two people have done.  I find myself in this situation here with this resort.  I know we have some delinquent owners…my wife and I have owned here for over 20 years and we have never been late on our maintenance fee.  But if we want to bank something for next September we can’t do it because we don’t have next September’s dues paid.  I think that is wrong…there has got to be a way the board here to identify those who aren’t paying their maintenance fees and not let them exchange and not put that on me.

A) This is not only a board decision but also a RCI requirement.   RCI contacts the resort and ask if the maintenance fee for that unit and year been paid and if it hasn’t then RCI will not allow you to bank and exchange that unit week unit the maintenance fee has been paid.

Q) A6-30 Are there any plans to improving or adding to the playground?

A) Not at this time but please give our resort manager some ideas and she will bring those ideas to our attention.

Q) C4-22 when will the board be getting to the “C” building upgrades?

A) Next year.  We do one building per year and this year we are working on “B” and next year it will be “C” building.

Q) A1-35 Can you pay your maintenance fees when you check-in?

A) Yes

Q) C4-27&28 Can something be done with the playground surface and equipment?

A) We will entertain any suggestions.

Q) I would like to see the resort consider a fire pit and splash pad at the pool.

A) We will discuss this suggestion.

New Business

Consideration of the proposed Budget – E5-30 moved to accept the recommended budget; seconded by C3-35; motion carried.

Door Prizes were given out.

Election of 2 Board Members – President Eller opened the floor for nominations.  D5-51 nominated Bruce Stinker; Lydia Lister nominated Jerry Hemlock.  Ron Roth moved that nominations be closed; seconded by A2-35.  President Eller opened floor for discussion; motion carried.

President Eller cast the deciding vote.  Our two new board members are Bruce Stalnaker and Jerry Helmick.

Q) A6-1 I understand that the hot tub at the pool is down will it be repaired?

A) We will be looking at that repair in the fall.

Q) A6-1 has anything been done with the mean dog that keeps attaching people at the resort?

A) Yes, we have spoken to the owner and we are trying to monitor the situation.

Q) G1-29 I thought we were going to try to consulate mailing and save on paper and expenses but yet I own two units and received two separate mailings.  Also what is being done to help conserve energy?

A) Yes we are trying hard to consulate mailings please see Cindy for that.  Also we have switched all major appliances to more energy efficient appliances and we are constantly looking for ways to save energy.

Q) D1-   I would like to see Crock Pots purchased for every unit.

A) I don’t see how we can afford to do that but we will get a half a dozen and have available in the office for those who want to use them.

Q) RCI exchanges are getting hard to find…what is the deal?

A) We agree but can only speculate that it is because of the Points Program.

S) B6-28 I have no problems with anything I feel that everything is working well.
